Registration Open for Summer Training

This year's summer training will include a workshop to explore the new student data collection system, Connect. We will walk through navigation, uploading, error reports, and other features. Summer training dates are listed below:

  *   July 29 - Caribou
  *   July 30 - Orono
  *   July 31 - Machias
  *   August 12 - Augusta
  *   August 13 - Biddeford
Due to changes in 2025-2026 that mainly impact student data collection, this year's summer training will focus on student data and student data collection processes. Civil Rights Data Collection (CRDC) State Data Load (federal report)

The Maine Department of Education (DOE) has prepared some elements of the federal Civil Rights Data Collection (CRDC) to assist school administrative units (SAUs) and schools with completing reporting requirements for the 2023-2024 collection. The submission due date has been extended; CRDC data submissions are due April 7, 2025.

This report is used to measure April student enrollment and calculate tuition rates pursuant to Title 20-A, §5805, subsection 1.B<https://maine.us2.list-manage.com/track/click?u=a582edd6473e477ef6307c769&id=0bd07e934d&e=d89fcd9d0f>. This report is not used for Essential Programs and Services (EPS) calculations; however, it is required to calculate tuition rates.

Open Date: April 1
Due Date: April 15

Required to Report: All school administrative units (SAUs) and private schools with publicly-funded students should ensure that their enrollment data is current. This includes charter schools and Education in the Unorganized Territory (EUT).

Quarterly Reporting – Quarter 3

Quarter 3 reports for Daily Attendance, Truancy, Behavior, and Bullying will be open starting April 1. Quarterly reporting allows data to be updated throughout the school year. Quarters are three months long:

  *   Q1: July - September
  *   Q2: October - December
  *   Q3: January - March
  *   Q4: April - June
Reporting Period: January 1 - March 31
Open Date: April 1
Due Date: April 15

"Maine Schools" is the process by which the Maine DOE collects information about Maine SAUs for the upcoming school year. Maine School Approval provides the Maine DOE with the attestation from SAUs and schools in Maine that all Maine statutory requirements are met. This report offers an opportunity to update contact information to ensure that the Maine DOE has the most current information. Student enrollments cannot be uploaded/entered into Synergy until the Maine Schools process is complete.

Open Date: May 1
Due Date: June 15

Required to Report: all RSUs, CSDs, MSADs, municipal school units, Maine Indian Education, charter schools, state-operated schools, and private schools that accept publicly-funded students. Access to Synergy and NEO will not be available without the completion of this report.

The ESEA Demographics Report is an aggregation of students enrolled on May 30 each year for participation in state assessments during the current assessment administration. This report includes student demographic categories for assessment and accountability purposes.

Open Date: May 15
Due Date: June 15

Required to Report: all RSUs, CSDs, MSADs, municipal school units, Maine Indian Education, charter schools, state-operated schools, and private schools that accept publicly-funded students.

The student Enrollment data dashboard is based on data collected on October 1 of each respective school year. It was recently updated to include the most-recent October 1 Enrollment collection for the 2024-2025 school year. Maine DOE Data Warehouse

The Maine DOE Data Warehouse provides data about Maine’s students, education staff, schools, and SAUs in one location. This data can be filtered in multiple ways for comparisons across the state, SAUs, and schools, as well as changes over time. The data collected by the Maine DOE are based on the requirements from state and federal statutes.

We are currently updating some of the reports to include visualizations. Current visualized dashboards include:

These trainings can be tailored to the needs of individuals within an SAU or focused on supporting teams with best practices for data reporting. Data Quality Tip of the Month

Metadata is a critical tool for understanding data that is reported by the Maine DOE. Reported data on the Data Warehouse includes a tab for metadata, the data which describes sources and definitions of the data set used to compile a report. Data reported from the Maine DOE is often aggregated at the end of a school year, with a few exceptions such as October 1 Enrollment reporting. Always note the dates and sources of data that is reviewed from any dashboards posted by the Maine DOE to ensure accurate interpretation.
