Hi Hillary,
We have a purchase card program (through the city of Lewiston) and often
issue purchase cards to employees who are going on trips to take care of
just these type of items. It's a lot to expect employees to chaperone a
trip while also paying for everyone's food and incidentals AND keeping
track of all receipts. This works well for us, but of course launching a
purchase card program is a huge undertaking that requires great thought and
care around controls, so you would want to do a lot of due diligence and
get board approval and have a policy in place before taking that route.
