The CACFP 2025 Agreement is now open!

As a reminder, the budget is different this year than previous years. The budget and required documents are available for download on the checklist tab in CNPweb and will need to be completed and uploaded in CNPweb prior to submitting your agreement for approval. The CACFP Budget Training has been recorded and will be available next week on our webpage- stay tuned!
As a reminder, all Sponsoring Organizations must complete all parts of the agreement this year. Moving forward, Sponsors of Independent Centers in good standing will only need to submit the budget piece during the year of their Administrative Review (or any required follow-up reviews). All Sponsors must sign the CACFP Agreement (Checklist Tab #1) this year as USDA updated the civil rights information during our recent audit. Once the agreement is submitted, the Director of Child Nutrition will sign the form as part of the agreement renewal process. The Step-by-Step Agreement Completion Instructions have been updated and are available under "Help" in CNPweb.
During the Annual Training there was confusion on what was required for tracking staff time and job descriptions, so we reached out to USDA for clarification on what is required. At a minimum, all CACFP Sponsors must complete the budget line items for: Purchased Food Costs, Non-food Supplies, Food Service Labor Costs and Administrative Labor Costs. Staff time spent on CACFP duties must be tracked by CACP Operating Cost (Food Service Labor) and CACP Administrative Cost (Admin Labor) regardless of the funding source(s). The annual cost for these employees with CACFP duties must be entered into the CACFP Budget, this will show the true cost of operating the CACFP. Any staff member with CACFP duties must have a job description uploaded on the checklist tab in CNPweb. The job descriptions must contain the percentage of time spent on CACFP duties vs. Non-CACFP duties. During the training we received feedback that changing job descriptions can be incredibly difficult for some organizations. To assist with this issue, our office created a "Job Description Supplemental Form" which is designed to be submitted along with the standard job description for your employee(s). This form allows the sponsor to enter the employee(s) assigned duties/time for 1 week and the form will calculate the percentages of Non-CACFP/CACFP Food Service/CACFP Admin duties automatically. The one form has the capability to track percentages for up to 25 employees if needed and is available for download/upload on the checklist tab.
Agreements are due by September 30th. We will be assigning State Agency Staff to Sponsor Agreement approvals next week. This will be posted on the notice page when you log into CNPweb.
After receiving great feedback last year, our office has scheduled virtual "Open Office Hours" to assist with agreement renewal questions and technical assistance. We encourage all Sponsors to save questions and plan on attending one of these virtual "Open Office Hours".
